We’re seeking an Executive Assistant (for VP & Chief CustomerOfficer), based at Western Union’s Digital Headquarters location in San Francisco,California (near AT&T Park). In this role, the executive assistant will be managing all meetings and events on behalf of the leader, executing on the leader’s expectations. The executive assistant will be proactively maintaining and coordinating calendars, taking initiative to schedule meetings/events, and influence others. Demonstrate strong communication skills, business acumen, and executive presence to enable leader and team success.

  • Effectively prepare for and organize all meetings and events by monitoring attendance, communicating the agenda/expectations, mitigating scheduling conflicts, reserving space to meet, and ensuring that the leader has all briefing materials

  • Ensure timely set up of all meetings and events (including catering,and technology set-up

  • Communicate in a professional manner, maintaining confidentiality atall times

  • Build business relationships within the department and among otherexecutive assistants to foster a positive community

  • Coordinate all travel & expense activities, while adhering tobudget, on behalf of the executive

  • Schedule travel in an effective and timely manner, ensuring the leaderhas the proper Visa’s, briefing materials, transportation, and lodging for allbusiness trips

  • Prepare and submit all travel & expenses reports, invoices,purchase orders, and donations in a timely and accurate manner

  • Proactively own miscellaneous travel, supply, and expense needs for theteam

  • Utilize standard business technology to effectively produce and editanalytics and documentation (MS Suite of products)

  • May assist line and staff managers in hiring and training newadministrative support personnel

  • Is responsible for the purchase of office equipment and supplies andcontrol inventories

  • May help plan company events, meetings and employee team buildingactivities or special projects

  • Experience of supporting senior executives in a large global organization.

  • Experience of handling travel & expense reports, invoices, purchaseorders, and donations

  • Comfortable in a fast-paced environment with multiple-tasks andprojects at hand

  • Self-directed and able to work without supervision

  • Proficient computer skills, including Microsoft Office Suite

  • Excellent time management and prioritization skills
