Right now we are looking for an Executive Assistant located in our San Francisco, CA office.
Job Description andEssential Responsibilities:
Manage all meetings and events on behalf of the leader,executing on the leader’s expectations
Proactively maintain and coordinate calendars, takinginitiative to schedule meetings/events, and influence others
Effectively prepare for and organize all meetings andevents by monitoring attendance, communicating the agenda/expectations,mitigating scheduling conflicts, reserving space to meet, and ensuringthat the leader has all briefing materials
Ensure timely set up of all meetings and events(including catering, and technology set-up
Demonstrate strong communication skills, businessacumen, and executive presence to enable leader and team success
Communicate in a professional manner, maintainingconfidentiality at all times
Build business relationships within the department andamong other executive assistants to foster a positive community
Coordinate all Travel & Expense activities, whileadhering to budget, on behalf of the executive
Schedule travel in an effective and timely manner,ensuring the leader has the proper Visa’s, briefing materials,transportation, and lodging for all business trips
Prepare and submit all T&E reports, invoices,purchase orders, and donations in a timely and accurate manner
Proactively own miscellaneous travel, supply, andexpense needs for the team
Utilize standard business technology to effectivelyproduce and edit analytics and documentation (MS Suite of products)
May assist line and staff managers in hiring andtraining new administrative support personnel
Is responsible for the purchase of office equipment andsupplies and control inventories
May help plan company events, meetings and employeeteam building activities or special projects
Minimum Educational& Experience Requirements:
Bachelor's degree in businessadministration desired
Experience of supporting seniorexecutives in a large global organization.
Experience of handling T&Ereports, invoices, purchase orders, and donations
Comfortable in a fast-pacedenvironment with multiple-tasks and projects at hand
Self-directed and able to workwithout supervision
Energetic and eager to tacklenew projects and ideas
Proficient computer skills,including Microsoft Office Suite
Able to concentrate on multipleproblems/tasks at once
Excellent time management andprioritization skills
